Before They Even STARt. Pre-boading Practices to Faster Performance

Let's talk about pre-boarding for new hires. In our experience, it’s rare for companies to think about introducing new employees to the company before their first day. However, this can help new hires integrate more smoothly, which means a shorter onboarding process for the business.   

Here are some practices you can implement before a new hire’s first day to help them adapt, even if they can’t yet access all the portals and internal systems.

 

1. Welcome Email

The simplest step every company should take. It’s more than just a letter with an offer and a start date. Include a warm message from the team and the hiring manager.

2. Company Information

It’s helpful to provide detailed information about the company, including its history, mission, values, and culture, with links to websites and social media. Even if the new hire researched this during interviews, they might find new insights and start following the company’s updates.

3. Job Role and Responsibilities Outline

This might seem obvious and could be in the offer, but if previously only discussed verbally, include it. Sharing a clear outline of the new hire's job role, expectations, and key responsibilities helps them prepare for initial tasks and formulate their questions.

4. Access to Systems and Tools

Create an email address and set up access to necessary systems, tools, and accounts before their first day. If your company has a long approval process that takes 2-3 months, start early.

5. Health and Safety Information

Providing information about workplace health and safety protocols is valuable, especially if there are specific clothing or footwear requirements.

6. Training Materials

Provide training materials or online courses relevant to the new hire’s role in advance, saving onboarding time. The hiring manager and the team will appreciate the new person being more prepared for the first day.

7. Pre-boarding Portal

If you have a high volume of hires, consider creating a separate pre-boarding portal. It shouldn’t contain confidential information but should provide more than the official site, such as resources, company policies, forms, benefits, and employee programs.

8. First Week Agenda

Share a detailed agenda for the new hire’s first week, including meetings and training sessions, to prepare them for their first week. But don't make it overwhelming; give them more time in the beginning to get familiar with all the systems and processes.

9. Company Welcome Kit

It’s great if you have a welcome package with company-branded items like a t-shirt, mug, or notebook. Receiving something tangible is always nice in this digital world.

10. Mentorship Assignment

Assign a mentor or buddy to help the new hire acclimate to the company. They don’t need to meet in advance, but the buddy should be designated to meet them on the first day.

11. Pre-start Date Check-ins

Schedule a check-in call with the new hire to address any questions or concerns they might have before their first day.  

 

These practices help new hires feel connected and informed, making their transition into the company smoother and more engaging.
